At HR Zen, we’re revolutionizing how owners, managers, and employees interact with human resources and its related functions. To make this possible, we collect and use personal data in accordance with the Philippine Data Privacy Act of 2012. This notice explains what we gather, why we gather it, how we use and share it, and your rights.

We collect the information you provide during signup and onboarding, such as your name, contact details, employment information, government IDs, payroll and bank details, work schedule, time and attendance records, leave and overtime data, and any documents or content you upload to the platform. We also gather technical data—like IP addresses, device and browser details, cookies, and activity logs—to help keep HR Zen running smoothly and securely.

We use your data to create and manage your account, maintain accurate employee records, manage schedules and timekeeping, process payroll and benefits, handle leave and other HR requests, generate HR reports and analytics, and notify you of important HR- and system-related updates. We process your information based on your consent, the need to perform our contract with you or your employer, our legal obligations, and our legitimate business interests.

We share personal data only with trusted partners —service providers such as payment processors or cloud hosts, professional advisors, and government agencies when required by law. Third parties are bound by confidentiality agreements and strict data protection standards.

We store your data with secure and stringent protection measures and retain it only as long as needed to deliver our services, comply with legal requirements, or defend legal claims—typically up to five years after your last interaction. After that, we securely delete or anonymize it.
